Submit Your Event Details: Maximize Impact with “Event in a Box”!

The “Event in a Box” concept is designed to streamline how clinic events are planned, executed, and supported by the marketing team. Each event follows a standardized structure with clear timelines, deliverables, and responsibilities between the clinic manager and marketing team — ensuring professional presentation, brand consistency, and efficient use of resources across all Rejuvenation locations.

To give your event the attention it deserves, please fill out the form below at least 5 weeks in advance. Submitting on time ensures our team can:

  • Create professional marketing materials tailored to your event
  • Promote your event to the right audience through email, social media, and local channels
  • Maximize attendance and bookings for special offers or giveaways

Promotions & Giveaways

Recommended Limit:

Promotions: Pick 2–3 main promotions per event to keep messaging clear and avoid overwhelming patients with confusing discounts and promotions. For example:

  • “Buy More Save More” with a general discount structure on total spend.
  • Buy 50 units of Botox get 10 free 

Giveaways: Offer giveaways based on the vendor contributions. A rule of thumb would be to have 1-2 large value giveaways (Treatment packages $1,000+ value) and some smaller giveaways (Skincare + Consultations). 

Guidelines:

  • Must be confirmed a minimum of 4 weeks prior to the event to allow enough time for digital design, print, and email.

Please be as detailed as possible.

What We Need From You

To ensure a successful event, we will require your participation with respective to the following timelines. For all print materials a maximum of 2 revisions is permitted, with the draft designs being provided over teams clink or call 4 weeks out form the event. 

5 WEEKS OUT: 

  • You submit this marketing ticket.
  • You provide mailing list including name, email, phone number (if applicable) *All guests info must be uploaded to the excel mailing list template and provided to the marketing team prior to the email blasts going out. We rely on you to source your VIP list and include their first name, last name, email and phone number correctly. If there are no phone numbers or emails, those guests will not receive the corresponding marketing materials. 
  • Physical Mail invites are created for you to print and arrange delivery.
  • Eventbrite is created.
  • Save the Date email is sent.
  • Facebook event and google business event is created (if open to the public).

4 WEEKS OUT:

  • You are to confirm ALL promotions and giveaways for the event with the marketing team - we understand this will require participation from the vendors and reps, so please set a deadline with them as well. 
  • Review and approve ALL print materials - the marketing team will need a week turnaround time to make any requested changes before uploading to Proshop or exporting print files for you.
  • Formal Invitation is sent via Email and SMS (if applicable).
  • If Photographer or Videographer is requested, we will aim to secure the vendor for the event date.

3 WEEKS OUT: 

  • You manage ordering the approved print materials through Proshop or through a local printer *Please note: To ensure streamlined processing and accurate documentation, changes cannot be accepted after print materials have been finalized and exported to Proshop or with bleeds for printing. 
  • Meta ads would need to be launched (for paid, public events only).

2 WEEKS OUT: 

  • Last Chance email and SMS is sent as a final push to get RSVP's.
  • Content brief is sent to Photographer/Videographer (if applicable).

1 WEEK OUT: 

  • TV slides are completed and can be tested the week before if requested, otherwise they be scheduled to go live on the night of the event.
  • Final Reminder email is sent out "See you Friday!"

DAY OF THE EVENT:

  • Assign a staff member to check-in the guests as they arrive by scanning their QR codes on Eventbrite - They must have a device with the Eventbrite app downloaded, we will provide them with the login to the Eventbrite. This will allow us to track attendance and obtain a list to follow up after the event to attendees. 
  • Focus on sales at the event and enjoy your hard work!!

PLEASE NOTE: The marketing team can only be responsible for the creative and uploading the slides to Maui we cannot assist with anything beyond our control such as wifi issues, power outages etc. For 911 technical difficulties in clinic with TV’s or IT problems please contact Causmx at support@causmx.com.

Troubleshooting TV’s: If your screens are not showing the desired slideshow, please ensure the “source” of the TV is correct. If some of your TV’s are running on USB, the slideshow uploaded remotely will not automatically play. If you need slideshows exported to upload on a USB please let us know the week prior so we can send it to you, this process must be executed at clinic level.
